Refurbishing commercial premises while the business stays open

Zone Gym, Burleigh Heads - refurbishment

Keeping a business open during refurbishment requires a workable separation and staging plan, not just a promise to work around everyone. Start by identifying which operations must continue, which areas can close and where construction access or service interruptions would affect people.

Map activities as well as rooms

A floor plan shows spaces but not delivery patterns, visitor peaks or staff routines. Discuss daily operations with the people who manage the premises. Identify emergency access, stock movement and essential equipment. Work zones should be chosen against those activities rather than divided into equal areas for construction convenience.

Define each stage and transition

For every stage, document the available operating area, boundaries, access routes and services affected. A stage may need temporary facilities or equipment relocation before building work starts. Include the transition into the next stage, not only the construction within it. Reopening an area can require inspection, cleaning and operator acceptance.

Agree shutdowns and communication

Agree who authorises services isolations, the notice required and the available shutdown windows. Set clear contacts for occupants and unexpected site conditions, and plan for noise, dust and deliveries.

Compare the alternatives

Sometimes temporary relocation is more practical than many small stages. Compare the operational consequences and construction implications of each option. Record the agreed assumptions in the building scope. If the layout or operating requirements change, review the programme and access plan rather than expecting the original staging to remain workable.

Practical example

Test a staged sequence

An operator might move one team into a retained area while the first zone is refurbished, then relocate into the completed zone. Test the temporary headcount, amenities, stock and service needs at each move. The transition may require more preparation than the building work itself. Use this sequence as a discussion aid; its suitability depends on the premises and operation.

Project checklist

  • List operations that cannot stop.
  • Identify work zones and separate access.
  • Agree relocation and temporary-service requirements.
  • Assign shutdown permissions and occupant communications.
  • Define checks before each area returns to use.
